How to submit Client Data

As a licenced service provider, Unicount needs to comply with Estonian regulations requiring us to identify company representatives and beneficial owners.

After completing payment for your company formation and/or virtual office subscription, you will be redirected to the Unicount Client Dashboard Client Data view.

This is how you can submit your Client Data:

1. Submit information about your business

Fill in the required "Business" tab details as shown in this screenshot with Unicount sample data. When you are done, click "Save changes" in the top right corner.

When done, move to the "Related persons" tab to insert the related persons.

2. Submit related persons

In the "Related persons" tab, check if all natural persons who control more than 25% of the company through direct or indirect ownership are inserted. These persons are also called "beneficial owners."

Mathematically, there can be up to three beneficial owners controlling more than 25% of the company. You can read more about beneficial owners here. Having no natural person controlling over 25% of voting rights through ownership normally applies to large companies having many shareholders.

If no natural persons control more than 25% of the company through direct or indirect ownership, you can insert board members (directors) or supervisory board members as beneficial owners. For this, choose the right type of control from the dropdown menu.

If you are the only beneficial shareholder you can easily confirm your existing details by clicking "I am the only ultimate beneficial owner (UBO) of the company". You would not be able to submit additonal related persons with this box ticked.

If the company has additional board members, please add them as related persons. Unicount does not serve companies that have related persons with unsupported citizenships and residencies.

If the beneficial owners have Estonian personal ID codes issued by the e-Residency program, please insert them instead of the country of residence/citizenship ID codes.

When you are done, click the "Save changes" button in the top right corner.

When done, move to the "Documents" tab, where you can insert the passport information and upload passport copies of the related persons.

3. Upload beneficial owner passport copies

In the Documents tab, insert passport information and upload passport copies for all related persons. The natural persons inserted on the previous "Related persons" tab are displayed here, so you can easily add a passport copy for all of them. Please upload PDF or JPG files only.

If there is no valid passport, EEA ID cards are accepted. Please upload both sides of the ID cards.

When you are done, click the "Save changes" button in the top right corner.

If all the required information is inserted, clicking on Save Changes opens the signing popup where Unicount asks you to sign digitally to confirm the inserted Client Data.

Signing will be triggered with the same eID method you used to log in to the Self-Service, so it is either an Estonian e-resident card, ID card, Smart-ID, or Mobile-ID.

4. Sign to confirm

Before you can sign your Client Data with your Estonian e-resident card, ID card, Smart-ID, or Mobile-ID, please confirm the following by ticking the appropriate boxes:

1) There are no persons entered into EU sanctions lists among shareholders, members of the board, or ultimate beneficial owners of the company

2) There are no politically exposed persons among shareholders, members of the board, or ultimate beneficial owners of the company

3) The information provided is true, complete, and reflects the actual situation

4) I agree to Unicount Terms of Service

5) I agree to Unicount Privacy Policy

After successfully signing your Client Data, Unicount contacts you only if something requires further clarification.

Remarks

Please note that Estonian e-resident card and ID-card-related issues with browser signing are widespread. Unicount always recommends using Smart-ID when accessing online services. To retry signing in with Smart-ID, log out of the Client Dashboard and log in again with Smart-ID.
